PRIVACY POLICY
Effective: 18 May 2026
Proprytor is built by a Canadian team for Canadian home buyers, sellers, and the realtors who serve them. This policy explains, in plain language, exactly what information we collect, why we collect it, and how we keep it safe.
1. WHO THIS APPLIES TO
This Privacy Policy applies to the Proprytor mobile application, the Proprytor website at proprytor.com, and the Proprytor CRM web platform used by licensed realtors who invite clients to the service (together, the "Service").
Proprytor is an invitation-only platform. End users join the Service only after receiving an invitation from a licensed Canadian realtor. By accepting that invitation and using the Service, you agree to the practices described in this policy.
Proprytor is operated by Asteron Tech ("we," "us," "our"). We are the organization responsible for personal information processed through the Service under the Personal Information Protection and Electronic Documents Act (PIPEDA) of Canada.
2. INFORMATION WE COLLECT
We collect only what we need to operate the Service. Here is the complete list.
Information you provide directly:
- Account details — name, email address, phone number, profile photo
- Sign-in credentials — depending on the method you choose, this may include your email address and password, your phone number (for SMS verification), or an authentication token from Apple Sign In or Google Sign In
- Realtor connection — the realtor who invited you and your messaging history with them
- Property preferences — saved listings, search filters, favourited properties
- Communications — messages, voice notes, attachments, and audio call metadata you exchange in-app
- Shared media — photos, videos, and files you choose to send through chat
- Contacts (optional) — if you enable contact sync, the names, phone numbers, and email addresses from your device address book are used to help you find people you already know on Proprytor
- Support requests — any information you provide when contacting our support team
Information collected automatically:
- Device information — device model, operating system version, app version, language settings
- Usage data — features used, screens viewed, listings opened, session duration
- Approximate location — city-level location derived from IP address, used to default the map view
- Precise location — only with your explicit permission, used to show nearby listings on the map
- Diagnostic data — crash reports and error logs to help us fix bugs
Information we do not collect:
Proprytor does not collect your calendar, health data, financial account numbers, passwords for other services, or biometric identifiers. We do not use third-party advertising trackers or sell your information.
3. SIGN-IN METHODS
Proprytor supports four ways to sign in to your account, all of which are activated only after you accept an invitation from a licensed realtor:
- Email and password — you create a password that is hashed and stored securely; we never store your password in plain text
- Phone number — you receive a one-time SMS verification code; we store your phone number to identify your account but do not store the code itself
- Apple Sign In — Apple shares a unique identifier and, at your discretion, your name and email (or a private relay email). We never receive your Apple ID password
- Google Sign In — Google shares a unique identifier, your name, and your email address with us after you grant permission. We never receive your Google password
You can change your sign-in method at any time from Profile → Settings → Account. Removing one method does not affect the others, provided at least one remains active on your account.
4. DEVICE PERMISSIONS YOU CONTROL
Proprytor requests access to certain device features only when needed, and only with your explicit consent through your device's standard permission prompts. You can grant or revoke each permission at any time in your device settings. The Service will continue to function with reduced features if a permission is denied.
Push notifications
If you allow push notifications, we send alerts to your device for new messages, incoming calls, listings matching your saved searches, price changes on saved properties, and important account updates. Notification content is delivered through Apple Push Notification service (iOS) or Firebase Cloud Messaging (Android). You can disable specific notification categories from inside the app or turn off all notifications from your device settings.
Alarm and scheduled notifications
With your permission, Proprytor can schedule local reminders on your device — for example, reminders for upcoming property viewings, open houses, or follow-ups suggested by your realtor. These reminders are stored and triggered locally on your device and are not sent to our servers.
Contact sync
If you allow contact access, Proprytor reads the names, phone numbers, and email addresses in your device address book to help you find people you already know on Proprytor and to make it easier to invite family members into a shared chat with your realtor. Contact data is matched on our servers using one-way hashing where possible. You can revoke contact access at any time in your device settings; revoking access stops further reading of your contacts and we will delete any matched contact data from our servers within 30 days of your request.
Photos, videos, and file sharing
If you allow photo library or file access, Proprytor lets you attach photos, videos, and files to messages you send through in-app chat. We only access the specific files you select to share — we do not scan your entire photo library or file system. Shared media is stored securely on our servers and is visible only to you and the recipient of the chat.
Camera
If you allow camera access, you can take a new photo or video directly from inside chat to share with your realtor, or update your profile picture.
Microphone
If you allow microphone access, you can make in-app audio calls to your realtor and record voice notes inside chat.
Location
If you allow location access, Proprytor uses your location to show listings near you on the map. We do not track your location in the background.
5. HOW WE USE YOUR INFORMATION
We use the information described above for the following purposes, and only these purposes:
- To create and maintain your account once a realtor invites you to the Service
- To authenticate you securely using your chosen sign-in method
- To connect you to your realtor and facilitate communication between you
- To display live MLS® listings, your saved properties, and personalized search results
- To send you in-app and push notifications about new messages, price changes, and listings matching your saved criteria
- To schedule reminders and alarms on your device when you request them
- To match your contacts (if you enable contact sync) to help you find people on Proprytor
- To allow you to share photos, videos, and files with your realtor inside chat
- To provide audio calls, messaging, and listing-sharing features between you and your realtor
- To diagnose technical issues, improve app performance, and prevent abuse
- To respond to your support requests and communicate important service updates
- To comply with legal obligations under Canadian law
We do not use your information to build advertising profiles, train artificial intelligence models, or sell to data brokers.
6. LEGAL BASIS AND CONSENT
Under PIPEDA, we collect, use, and disclose personal information only with your knowledge and consent, except where the law permits otherwise. By accepting your realtor's invitation and creating an account, you provide express consent to the processing described in this policy.
For features that require access to your device — location, camera, microphone, photo library, files, contacts, and notifications — we request your additional consent through your device's standard permission prompts. You can grant or revoke these permissions at any time in your device settings, and the Service will continue to function with reduced features.
You may withdraw your overall consent to our processing at any time by deleting your account (see Section 12). Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.
7. WHEN WE SHARE INFORMATION
We share your personal information only in the limited circumstances described below.
With your realtor:
Because Proprytor is invitation-based, your assigned realtor can see your name, profile photo, contact information, messages you exchange with them, listings you save or favourite, listings you share with them, and any photos, videos, or files you share with them in chat. This is the core function of the Service.
With service providers:
We use a small set of trusted vendors to operate the Service. Each is bound by contract to use your information only as needed to provide their service to us:
- Cloud hosting providers — for secure storage of your account data, messages, and shared media
- MLS® / IDX data partners — Canadian real estate boards that supply listing data to us (we do not share your personal information with them; data flows in one direction only)
- Authentication providers — Apple and Google, when you choose to sign in with those services
- SMS gateway providers — to deliver one-time verification codes when you sign in by phone number
- Push notification services — Apple Push Notification service and Firebase Cloud Messaging, to deliver notifications to your device
- Crash and analytics providers — to collect anonymized diagnostic data that helps us fix bugs
For legal reasons:
We may disclose information if required by a valid court order, warrant, or legal process under Canadian law, or where necessary to protect the rights, property, or safety of Proprytor, our users, or the public. We will challenge overly broad requests and notify you when permitted by law.
In a business transfer:
If Proprytor or Asteron Tech is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. You will be notified by email and in-app before your information becomes subject to a different privacy policy.
We do not sell your personal information. Not to advertisers, not to data brokers, not to anyone. Full stop.
8. WHERE DATA IS STORED
Your personal information is stored on servers located in Canada. We have chosen Canadian-resident infrastructure to keep your data subject to Canadian law and out of the scope of foreign government access requests wherever possible.
Some of our service providers (for example, Apple Push Notification service, Firebase Cloud Messaging, Apple Sign In, and Google Sign In) may transmit limited data through infrastructure located outside Canada. In those cases, the data is minimal and is protected by industry-standard encryption in transit.
9. HOW WE PROTECT YOUR DATA
We use a layered set of physical, technical, and administrative safeguards to protect your personal information:
- End-to-end encryption for in-app messages between you and your realtor — meaning even we cannot read the contents
- Encryption in transit using TLS 1.2 or higher for all data sent between your device and our servers
- Encryption at rest for personal information stored in our databases
- Password hashing using industry-standard algorithms; we never store plaintext passwords
- One-way hashing of contact data where possible, to reduce exposure of your address book
- Access controls limiting employee access to personal information on a need-to-know basis, with logging and regular review
- Secure development practices including code review, dependency scanning, and regular security audits
- Incident response procedures to detect, contain, and notify affected users in the event of a data breach, in accordance with PIPEDA's mandatory breach reporting requirements
No system is perfectly secure. While we work hard to protect your information, we cannot guarantee its absolute security. If you believe your account has been compromised, contact us immediately at support@proprytor.com.
10. HOW LONG WE KEEP IT
We retain personal information only as long as needed for the purposes described in this policy:
- Account information is retained while your account is active
- Messages, call metadata, and shared media are retained while your account is active so you and your realtor can refer back to your conversation history
- Synced contact data is retained while contact sync is enabled; if you disable contact sync, matched contact data is deleted from our servers within 30 days
- Scheduled reminders and alarms are stored on your device only and are deleted when the reminder fires or when you remove it
- Diagnostic and crash data are retained for up to 12 months, then deleted or fully anonymized
- Records required by law (for example, tax or audit records) are retained for the period required by the applicable law, then deleted
When you delete your account, we permanently remove your personal information within 30 days, except where we are required by law to retain it longer. See Section 12 for details.
11. YOUR RIGHTS UNDER PIPEDA
Canadian privacy law gives you the following rights with respect to your personal information:
- Right to access — request a copy of the personal information we hold about you
- Right to correction — ask us to correct information that is inaccurate or incomplete
- Right to withdraw consent — withdraw your consent to our processing at any time, subject to legal or contractual restrictions
- Right to delete — request that we delete your account and associated personal information (see Section 12)
- Right to challenge compliance — file a complaint with us, and if unresolved, with the Office of the Privacy Commissioner of Canada
To exercise any of these rights, email us at support@proprytor.com. We will respond within 30 days. There is no fee for routine requests; we will tell you in advance if a fee applies to an unusually large request.
If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca or by calling 1-800-282-1376.
12. DELETING YOUR ACCOUNT
You can delete your Proprytor account directly inside the app at any time:
1. Open Proprytor and sign in
2. Go to Profile → Settings → Account
3. Tap Delete Account and confirm
You can also request deletion by emailing support@proprytor.com from your registered email address.
Once you confirm deletion, your account is immediately deactivated. We permanently remove your personal information from our active systems within 30 days. Backup copies are overwritten on our standard backup rotation, typically within 90 days. All shared media, synced contact data, and scheduled reminders associated with your account are removed at the same time.
Certain information may be retained after account deletion where we are legally required to keep it (for example, transaction records under Canadian tax law). In all such cases, the retained data is access-restricted and used only for the legal purpose for which it was retained.
If you signed in using Apple Sign In, you can also revoke Proprytor's access from your Apple ID settings; if you signed in using Google Sign In, you can revoke access from your Google account permissions. Revoking access in this way does not delete your Proprytor account — to fully delete your data, use the in-app deletion flow above.
13. CHILDREN'S PRIVACY
Proprytor is not directed to children under the age of 13, and we do not knowingly collect personal information from children. Because the Service is invitation-based and used in the context of real estate transactions, our users are overwhelmingly adults. If you believe a child has provided us with personal information, contact us immediately at support@proprytor.com and we will delete it promptly.
14. THIRD-PARTY SERVICES
The Service incorporates a small number of third-party technologies. Each is named here for transparency:
- Apple Sign In — optional sign-in method that respects Apple's private email relay
- Google Sign In — optional sign-in method using your Google account
- SMS gateway provider — delivers one-time verification codes when you sign in by phone number
- Apple Push Notification service — delivers push notifications to iOS devices
- Firebase Cloud Messaging (Google) — delivers push notifications to Android devices
- Jitsi — open-source WebRTC engine that powers in-app audio calls; call media is peer-to-peer where possible and does not pass through our servers in plaintext
Links from the Service to external websites (for example, links to property listings on real estate board websites) are governed by the privacy policies of those sites, not by this policy. We encourage you to review them.
15. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time as our practices change or as required by law. The "Effective" date at the top of this page tells you when it was last updated. We keep an archive of previous versions and will provide it on request.
For material changes, we will notify you in advance by email and through an in-app notice, and where required by law, we will request your renewed consent before the changes take effect.
